RAMS and paperwork, signed before work

Nobody is cleared to work until they've read and signed the RAMS, confirmed the COSHH sheets, agreed the site rules and done the daily check. Every step is named, timed and kept.

How it works
Step 1Upload the RAMS

Add the RAMS and COSHH sheets to the job with a revision letter. The lads see them on their phone.

Step 2Read and sign

On their first visit they open the RAMS, tick that they've read and understood it, then confirm COSHH and the site rules.

Step 3Daily start-of-shift check

Every morning: fit for work, right PPE, know the task, area safe, tools checked. Ticked and time-stamped.

Step 4Cleared to work

A green banner shows when every step is done. Upload a new revision and everyone has to sign it again before they start.

What's on record

  • RAMS signed: who, which revision, date and time
  • COSHH sheets confirmed and site rules agreed
  • Daily checks, every person, every day
  • Permits to work: requested by, approved by, closed by, with times
  • Hazard, near miss and accident reports, with photos and how each was closed
  • Visitors: name, company, who they came to see, rules agreed

Questions

Do they need to sign on paper as well?

UK law requires you to make sure people understand the risks. It doesn't require ink. A named, time-stamped sign-off against a specific revision is strong evidence. Keep doing toolbox talks too.

What about subcontractors?

They go through the same induction, under their own company name, and appear in the same records.

Can we print an induction register?

Yes. Every job has a one-click induction record, and the PDF records cover every site.
