How it works

Four bits of paperwork, one QR code.

▶ Watch it in 55 seconds

The paper sign-in sheet, the RAMS signature sheet, the timesheet and the phone call asking who's on site — one QR code on the door does all four.

Scan the door

The first time, they sign up with their name and mobile. After that it's one tap to clock in and out, with the phone's location taken at that moment — and only then.

Signed before they start

They can't see the drawings or start work until they've read and signed the current RAMS, COSHH and site rules, and done today's start-of-shift check.

The office sees it all

Live roll-call across every site, printable induction records, hazard reports with photos, permits to approve, and a weekly timesheet ready for Excel.

In more detail

Everything a site needs. Nothing it doesn't.

01

Time and location stamped sign-in Full details →

  • A QR code on every site door. Scan it to clock in and out.
  • Each scan records the time and where the phone is, once. Nothing before, nothing after.
  • The phone asks every time, so the lads know exactly when it's looking.
  • Scans away from site are flagged for the office, not blocked.
  • No app to install. Face ID or a text code keeps accounts personal.
02

RAMS and paperwork, signed before work Full details →

  • Read and sign the RAMS, confirm COSHH sheets, agree the site rules.
  • Nobody is cleared to work until every step is done.
  • New RAMS revision? Everyone signs again before they can start.
  • Daily start-of-shift check: fit for work, PPE, area, tools.
  • Permits to work requested on site, approved and closed by the site manager.
  • Hazards, near misses and accidents reported with a photo.
03

Timesheets that fill themselves Full details →

  • Every sign-in lands in the weekly timesheet, per person, per job.
  • Unpaid break taken off each day automatically.
  • Off-site and missed clock-outs held for the office to check.
  • Trips to the merchant logged with a reason and receipt, so hours keep counting.
  • Every change shows who made it and why. Download to Excel.
04

Live site register Full details →

  • Who's on site right now, across every job, on any phone or PC.
  • Doubles as the fire roll-call. People away for work drop off the list.
  • Visitors and subcontractors sign in with their own route.
  • Site managers see only their own jobs.
05 · Tamper-evident PDF records

Solid evidence the paperwork was done before the work.

Accidents, claims and audits come down to one question: can you show you did your bit? Every RAMS acknowledgement, permit and check is recorded as it happens, named, time-stamped and tied to the RAMS revision. Each week's set is digitally sealed and sent to you, so any change made later would show. How the records work →

HSE visit

Show who was inducted, on which RAMS revision, at what time, in one PDF for that site.

Accident or injury claim

Prove he signed the RAMS for that task, did his daily check that morning, and who approved the permit.

Main contractor or client audit

Hand over the induction register, permits and reports for their site only, in seconds.

Your insurer asks

Records emailed to you every Monday, digitally sealed so nobody can say they were changed later.

"Nobody told me"

Upload a new RAMS and everyone has to sign the new revision before they can work. You'll know who has.

Hours dispute

The time and place of every sign-in, and every change to hours with who made it and why.

JobGate doesn't replace your RAMS or proper supervision. It proves the steps were taken, and when.

Also included

Built by someone from the trade, for the way sites actually run.

Clock in at the door

QR scan with location at the moment of the scan. Off-site scans are flagged, not blocked.

RAMS sign-off, on record

Every revision tracked, every signature time-stamped. A new RAMS makes everyone sign again. Download the induction record as a PDF for any site.

Daily start-of-shift check

Fit for work, PPE, task, area, tools — ticked and time-stamped every morning.

Visitors and fire roll-call

Visitors agree the site rules before signing in. "On site now" across every job, live.

Reports and permits

Hazards, near misses and accidents with a photo, and who closed them. Hot works and isolations requested, approved and closed, with names and times on record.

Timesheets

Hours per person per job, flagged shifts held for approval, missed clock-outs claimed and checked. Download for payroll.

Tickets and expiry

CSCS, PASMA, IPAF and the rest on file, with a warning before they run out.

Site managers

Your branding

Your logo and colours on the site pages, door signs and records. Subcontractors sign in too.

No tracking

The lads know exactly when it's looking — twice a day.

Tracking apps get refused on site, and fair enough. JobGate only reads the phone's location at the moment someone scans in or out. Close the page and it sees nothing. There's no background app and nothing installed. Everyone reads a plain-English notice of what's recorded before they sign up.

✕GPS tracking all day, battery drain, an app nobody wants
✕Paper sign-in sheets that go missing the day you need them
✕"I signed the RAMS, honest" — and no proof either way
✓Two moments a day, time-stamped, on a page they can see
Pricing

One simple price. No setup fee.

Pay for your own staff who sign in that month. Subcontractors are only charged once they've been on site 5 days that month, so a sub in for a day or two is free, and so are visitors. Cancel any time.

Questions

The things people ask.

Will the records stand up if there's a claim?

Electronic sign-offs are accepted as evidence in the UK. What matters is that they're specific and can't be quietly changed. Each JobGate record has the person's name, mobile, the RAMS revision, the date and time, and where they signed in. Your own PDF and Excel copy is emailed every Monday with a digital seal, so you can show it hasn't been altered since. It's evidence you took the right steps, not a guarantee of any outcome.

Do we pay for a sub who's only in for a day?

No. Subcontractors are only charged once they've been on site 5 days in the month. Day-one fitters, one-off trades and visitors cost nothing — they still get the full sign-in, RAMS and roll-call.

Do the lads need to install an app?

No. They scan the QR with their phone camera and it opens in the browser. They can add an icon to their home screen if they want one-tap access to the RAMS and the Report button.

Can someone sign in for a mate?

Each person signs up with their own mobile number, confirmed by a text code, with Face ID or fingerprint after that. Every scan records the phone's location, and anything off site is flagged for the office. It isn't fooled by a photo of the QR code from the van.

What if there's no signal on site?

The scan saves on the phone and sends itself when the signal comes back. Keep a paper sheet on the wall as a backstop, and the office can type entries in by hand.

Is it legal — do they need to physically sign the RAMS?

UK law requires you to make sure people understand the risks; it doesn't require ink. An electronic sign-off with name, revision and time is good evidence. Keep doing toolbox talks — the app records who signed, the briefing proves they understood.

What about GDPR?

Everyone reads a plain-English notice of what's recorded and why before they sign up, and that's logged. Location is only taken at the moment of a scan. Your data is only seen by your office and site managers.

We're a subcontractor on a main contractor's site.

Use it for your own team's hours and inductions; sign the main contractor's sheet as well where they require it.
